What Is CASPA? The PA School Application Explained

CASPA (the Centralized Application Service for Physician Assistants) is the online application that most PA programs use. You enter your transcripts, references, personal statement, and experience hours once, then send that application to the programs you choose. Because most programs use rolling admissions, submitting early gives you the best shot.

What does CASPA actually stand for and do?

CASPA stands for the Centralized Application Service for Physician Assistants. It is an online application service that the majority of PA programs use so applicants can complete one application instead of a separate one for every school. CASPA also lists which programs are participating and shows the deadlines for each one.

Keep in mind that CASPA is just a place to input your information. It does not list each program's requirements, like prerequisites or healthcare experience minimums, so you have to check those yourself for every school. You do not want to spend money applying somewhere you are not actually qualified for yet.

Some programs also require a supplemental application on top of CASPA. Sometimes it is due with your CASPA application, sometimes after you submit, and occasionally not until you are offered an interview. Always check with each program so nothing catches you off guard.

When does CASPA open and why does timing matter so much?

The application opens during April and stays open until the following March, but every program sets its own submission deadline that you need to watch closely. [VERIFY]

Most programs use rolling admissions, which means your application gets reviewed as soon as it is complete. The sooner you submit, the sooner you are in front of the committee, so earlier really is better. Processing and verification can take a few weeks, so do not wait until the last minute.

This is also why your references matter for timing. Let your recommenders know to expect the email so it does not get lost in their inbox, and gently communicate how important it is that they submit their part quickly. A complete application moves; an incomplete one just sits.

In Our Experience

In our experience coaching applicants, the people who get acceptances early are almost never the ones with the flashiest stats. They are the ones who submitted a complete, verified application in the first few weeks. So much of CASPA success comes down to logistics: chasing transcripts, prepping your references, and keeping good records of your hours all year long.

What information do you need to fill out CASPA?

There are a few core pieces you will gather before you start:

References: Programs vary on how many they want and who they should be from. Common choices are a healthcare supervisor, a PA you shadowed, or a professor. References are done electronically, so you need each person's email. You can list 3-5 references.
Transcripts: You need a transcript from every place you did undergraduate coursework. Keep a copy for yourself to make data entry easier. If you finish prerequisites later, you will send an updated transcript to the program.
Personal statement: A 5,000 character limit, which is roughly 650 words. [VERIFY] This is your chance to tell your story and show programs why you want to be a PA.
Experience: Categories include Patient Care Experience, Health Care Experience, Shadowing, Employment, Research, and Volunteer. Keep detailed records of where, when, how many hours, and what you did, plus any supervisors.

Every Pre-PA Should Know...

Verification alone can take 2-4 weeks, so a June submission can easily not reach programs until July. Build that lag into your timeline.

Then start tracking your hours in a spreadsheet as you go, keep contact info for supervisors, and save course descriptions for anything that might count as a prereq.

The applicants who suffer in June are the ones reconstructing four years of work history from memory. Don't be that person.

How much does CASPA cost and what about fee waivers?

The fee is $175 for your first program and $50 for each additional program in that cycle. [VERIFY] That adds up fast, so confirm you meet a program's requirements before you add it to your list.

My one caveat: if there is a program you are truly in love with but you are not quite at their requirements yet, it can still be worth applying. When you reapply the next year you will be a stronger, more experienced candidate and a reapplicant. That is just my personal opinion, but I have seen it work out.

There are income based fee waivers available, and they give you a $175 credit toward your first application. [VERIFY] They tend to run out quickly, though, and if you receive one your application must be completed within 14 days of getting it. [VERIFY] So if you qualify, apply for the waiver early and be ready to move.
